Job description:
We are seeking a highly organized and proactive Administrative Assistant for our HVAC department to support our team in various administrative tasks. The ideal candidate will be responsible for new dealer setup, tracking and generating reports, collaborating with other departments on price increase calculations, updating pricing, managing monthly claim backs for dealers and commercial clients, and actively participating in dealer meetings.

Key Responsibilities:
New Dealer Setup:
Coordinate and facilitate the on-boarding process for new dealers.
Ensure all necessary documentation and agreements are completed and filed.
Maintain accurate and up-to-date records for all new dealers.
Price Increase Calculations:
Collaborate with relevant departments to calculate and implement price increases.
Verify accuracy of price adjustments and ensure compliance with company policies.
Communicate changes effectively to internal teams and external partners.
Pricing Updates:
Update pricing information in company systems and databases.
Review and verify pricing accuracy and consistency across all platforms.
Claim Backs Management:
Process and manage monthly claim backs for dealers and commercial clients.
Verify and reconcile claim back requests to ensure accuracy and compliance.
Maintain records of claim back transactions, follow up on status and provide reports as needed.
Dealer Meetings:
Attend and actively participate in dealer meetings.
Provide support for dealer meeting events.
Qualifications:
Proven experience in an administrative support role, preferably in a similar industry.
Strong organizational and multitasking skills with attention to detail.
Proficient in Microsoft Office Word, advanced skills in Microsoft Excel.
Excellent communication and interpersonal skills.
Ability to work collaboratively with various departments and external partners.
Strong problem-solving skills and the ability to manage multiple priorities.
Previous experience with pricing strategies and report generation is a plus.
Experience with HVAC products and industry a plus
Education:
High School Diploma or equivalent required.
Associate’s degree or higher in Business Administration or related field preferred.
Job Type: Full-time
Pay: $18.50 - $19.50 per hour
Expected hours: 40 per week
